Audience service in cultural institutions

Service Overview

Klavo focuses its activities around culture, including supporting cultural institutions by providing qualified staff for audience services in museums, art galleries, theatres, philharmonics, opera houses and community cultural centres across the country. As a company, we also have experience in organising and handling large-scale events and festivals. As an external partner, we create a cooperation model in which we take over and efficiently manage tasks that fall outside the core responsibilities of substantive staff.

TEAM

The Klavo team includes animators, educators, and people with experience in sales and customer service. We tailor the manner and form of service to the needs of the institution and its clients. Among our employees are people connected to culture through passion, as well as students of cultural studies and related fields.
Our staff speak foreign languages, including less common ones such as French, Russian, and Vietnamese. Thanks to their openness and appropriate training, they are able to work with people with disabilities. They have completed training in serving audiences with physical, visual, and hearing impairments, delivered by organisations including the Culture Without Barriers Foundation and the Darania Social Enterprise, as well as training in Polish Sign Language.
They participate in external training programmes, including ECHOCAST (European Cultural Heritage Organizations Customer Awareness Staff Training), organised by the Museum of King John III's Palace at Wilanów. The training completed by our staff emphasises the role of front-line personnel and the importance of the highest quality service, strengthens attitudes that respond to the needs and expectations of visitors, and allows for practising effective communication.

AUDIENCE SERVICES

We handle ticket sales at institution counters or at box offices fully equipped by Klavo. We implement online reservation and ticket purchasing systems for exhibitions and events organised by cultural institutions. We systematically manage commercial space rental. We operate museum bookshops in full scope (including online sales and gift production). We organise promotional and sales campaigns for institutional products targeting organised groups.
The professionalism and dedication of our staff mean that visitors are happy to return to the institutions they have visited, rating them as very visitor-friendly. Our trained personnel provide comprehensive assistance to visitors, answering questions and resolving any doubts. We also run information points that offer comprehensive care to visitors — providing information not only related to the institution itself, but also general tourist information, details about current exhibitions, visiting routes, repertoire, publications, visiting regulations, and the layout of facilities within the building (toilets, cloakrooms, exhibitions). Staff are also responsible for displaying the institution's promotional and informational materials, as well as distributing leaflets and posters outside the institution.
Together with Frame-Art and Lekanto, we have served audiences at the Baltic Philharmonic in Gdańsk and the Wrocław Opera in Wrocław. In Warsaw, we have been present at Zachęta — the National Gallery of Art, the State Ethnographic Museum in Warsaw, and the Warsaw Zoo, as well as the Masovian Institute of Culture. Kraków — known as the cultural capital of Poland — is also our second home: we offer our services to Kraków cultural institutions such as the National Museum in Kraków, the Museum of Kraków, the Manggha Museum of Japanese Art and Technology, the Ludowy Theatre, and many others.

BOOKSHOP AND MUSEUM SHOP SERVICES

We operate museum bookshops in full scope and are responsible for the production of gadgets and gifts related to the museum's current offer. We sell publications and merchandise produced both by the institution and by our own company. We distribute institutional publications to other bookshops across Poland, as well as through our own online shop. We currently operate the Rawbookstore bookshop for the Museum of Photography in Kraków at ul. Rakowicka 22A.

TEMPORARY EMPLOYMENT AGENCY

Klavo, together with Hub2Work, has been collaborating with cultural institutions for several years also as a Temporary Employment Agency. Our offer is based on close cooperation with the client and a precise response to their current needs. We tailor the manner and form of service to the individual needs of the institution and its clients.
